Fleet management technology produces a huge volume of data. Foss filters that data down to the critical items that need your attention, helping you to understand what you're seeing so you can make better strategic decisions. 

 

Fleet technology has changed significantly over the years. But the goal has stayed much the same: give fleet managers better information, make routine work easier and help them make decisions with less friction.

For Foss, that evolution has been underway for years. Some of our technology was built long before terms like AI, connected vehicles, and fleet platforms became standard industry language. Today, we continue to build on that foundation with automation, integrations, customer-facing tools, and smarter ways to work with fleet data.

Technology matters. But so does what happens around it.

## The Real Test Is What Happens To The Data

A fleet generates an enormous amount of information. Fuel transactions, maintenance activity, vehicle information, mileage, driver data and [telematics](https://www.fossnational.com/en/fleet-telematics) can all tell a story about what is happening across a fleet.

The challenge is turning that information into useful business decisions.

That is where Foss has spent years developing technology around the practical needs of fleet managers.

## Foss Uses Seven Core Technologies to Reduce Fleet Costs and Admin Time

| Fuel Exception Reporting System | Analyzes dozens of data points and flags unusual fuel transactions for manager review. |
| Automated Data Import Tools | Simplifies our customer onboarding process by syncing with your existing technologies and tools. |
| Fleet Maintenance System | Coming soon: Will streamline vehicle maintenance and repairs by automatically approving routine requests and referring complex ones for technician review.  Will consolidate vehicle maintenance history for easy retrieval. |
| Fleet Manager Portal | Provides practical fleet management data on user-friendly dashboards, including vehicle and driver information, purchases and transactions, fuel and maintenance activity, and exception reporting. |
| Telematics | Provides in-depth driver behaviour data through our partnership with GoFleet, such as monitoring for speeding, idling, and harsh cornering. |
| Self-Service Tools | Allows our customers to handle routine tasks independently, including viewing and managing fuel, vehicle, and fleet card needs through the fleet manager and driver portals. |
| Artificial intelligence | Identifies data patterns that traditional rules and reporting may miss, while human judgment remains part of the process. |

 

Our fuel exception reporting system was developed about 15 to 16 years ago, before the industry talked about AI the way it does today.

The system analyzes dozens of data points and flags transactions for review. A purchase might be outside the expected geography, use the wrong fuel type or exceed the vehicle's tank capacity.

Instead of asking someone to examine thousands of transactions manually, the system narrows the field. It might identify three transactions worth a closer look out of 1,000.

The technology does not make the final judgment. It narrows the field so people can focus their attention where it matters.

## From Manual Work To Automated Workflows

That same principle is shaping newer parts of our tech ecosystem.

Behind the scenes, Foss is investing in automated data-import tools to reduce manual entry during customer onboarding, expanding APIs to connect and sync with your existing tools, and developing a more intuitive customer portal for direct system access. Further improvements are underway.

For fleet managers, that kind of technology removes friction.

We will also be launching a new system that streamlines fleet maintenance. This system connects repair requests from participating service providers to our fleet management process. It compares any requested work with the vehicle's history and fleet parameters, allowing routine approvals to move forward automatically.

When something falls outside those parameters, a technician can step in.

Fleet managers benefit from faster routine maintenance decisions, while more complex situations still get the attention they need.

It also keeps vehicle repair history connected to the broader fleet picture, making it easier to understand what was done and why.

Technology handles the routine work. Our fleet experts remain available for the decisions that require experience and judgement.

## A Portal Built For The Work Fleet Managers Actually Do

That thinking carries through to the Foss fleet manager portal.

The portal is designed around the information fleet managers need for day-to-day work, including vehicle and driver information, purchases and transactions, fuel and maintenance activity, and exception reporting.

It is built for practical use: finding information, checking transactions and taking action without unnecessary friction.

And we are continuing to evolve it.

The long-term direction is to bring more relevant fleet information together so customers can spend less time moving between systems and more time managing their fleet.

## Connecting The Fleet Ecosystem

Telematics is one area where that work is already underway.

Foss partners with [GoFleet](https://www.gofleet.com/) for telematics, giving customers access to solutions including Geotab and the more economical ZenduIT option. The partnership lets us work with a telematics specialist while focusing on what we do best: managing the broader fleet program.

Some telematics information, such as odometer readings, already flows into the Foss fleet manager portal. Other information, such as speeding, idling, and harsh-cornering data, remains available through the telematics platform.

The goal is to continue bringing the most useful information together over time.

That is an important part of our approach to technology: build thoughtfully, test what works and keep improving it.  
Rather than adding technology for technology's sake, Foss focuses on what can meaningfully improve fleet management today.

## Making Self-Service Useful, Not Mandatory

We are also moving toward greater self-service, but not at the expense of human support.

The goal is to give customers another way to handle routine tasks when they want to.

The fleet manager portal already provides direct access to information and transactional tools. Drivers also have access to a mobile experience where they can review fuel and vehicle information, manage certain fleet-card needs and record mileage. A dedicated driver app is in development.

The direction is not to make customers do everything themselves. It is to give them another option.

For example, if a driver loses a fuel card outside normal business hours, our self-service tools let the driver or fleet manager resolve the issue immediately rather than waiting until the next morning.

And when a situation calls for support, our exceptional customer service and fleet experts are always there.

## AI Has A Role, But It Is Not The Whole Answer

The next stage of that evolution is Artificial Intelligence.

Today, we see AI's potential to find patterns that traditional rules and reporting may miss, and the use cases will continue to evolve. 

The fuel exception system already looks for dozens of predefined signals. AI could help identify the next set of patterns people have not yet thought to define.

But that does not mean handing decisions over to a machine.

AI can produce false positives. Data can be incomplete. A pattern can have a legitimate explanation.  
That is why human judgement remains part of the process.

## Technology Built Around the Needs of Fleet Managers

Across Foss's technology development, a few principles remain consistent.

1. Solve real problems. Technology should make fleet management easier, not more complicated.
2. Use data thoughtfully. More data is not automatically better. The information needs to be useful and reliable.
3. Automate the routine. When technology can handle a decision efficiently, it should. When something requires judgement, people should be involved.
4. Give customers more control. Customers should be able to access their information and use it in the way that works best for their organization.
5. Work with the right specialists. Partnerships such as GoFleet allow Foss to bring specialized technology into the fleet program without trying to be an expert in everything.
6. Keep people at the centre. Technology should strengthen the service behind it, not replace it.

## The Next Generation Of Fleet Technology

That philosophy also shapes where we want to go next.

The long-term vision is a more connected experience where fleet managers can get the information they need without navigating multiple systems or interpreting large amounts of raw data themselves.

That could eventually mean a single place to see the issues that need attention, from fuel exceptions and approvals to vehicle information and driver-related alerts.

It could also mean delivering information in the format that works best for the customer. Some organizations may want to work directly in the fleet manager portal. Others may want to take their data into Power BI or another internal system. In some cases,  Foss may build more customized dashboards around a customer's specific needs.

The technology will continue to evolve. The underlying principle does not need to.

Foss has been developing fleet technology around real operational problems for more than 15 years. Today, that work is moving into a new phase, with more automation, stronger integrations, customer-facing tools and AI changing what is possible.

But technology is still a means, not the product itself.

The point is to make fleet management easier to see, act on, and manage.

And when the technology surfaces something that requires context, judgment, or a conversation, people behind it still understand the fleet.
